Software Privacy Policy

This Privacy Policy describes how Radiation Emergency Services, LLC (“we,” “our,” or “us”) collects, uses, stores, and protects information in connection with the RadTeamSim software platform, including RadTeamSim.Route, RadTeamSim.Flight, and RadTeamSim.Meter (collectively, “the Software”), and the associated web platform at radteamsim.com (the “Platform”).

 

By using the Software or Platform, you consent to the practices described in this policy.

1. Scope and Applicability

This policy applies to all users of RadTeamSim.Route, RadTeamSim.Flight, and RadTeamSim.Meter, whether accessed through the RadTeamSim SaaS platform via kiosk sessions, through the radteamsim.com web portal, or through the RadTeamSim.Meter mobile application on iOS or Android devices.

2. Information We Collect

2.1 Account Information

All users must create a RadTeamSim account on the Platform (radteamsim.com). During account creation and management, we collect the following:

  • First name and last name (required)

  • Email address (required)

  • Organization affiliation (required — your account is associated with an organization managed by your organization administrator)

  • Phone number (optional)

2.2 Mission Data

When you conduct a mission in any RadTeamSim product, the Software collects and stores mission data on the Platform. The specific data collected depends on the product used:

 

Mission Report Data Package (RadTeamSim.Route and RadTeamSim.Meter)

During each mission, the Software records second-by-second tracking data, including:

  • GPS coordinates (latitude and longitude) of the simulated vehicle position (Route) or your physical device position (Meter)

  • Date and time stamps (local time zone and UTC)

  • Simulated dose rate and unit at each position

  • Vehicle position context (inside/outside vehicle)

  • Simulation file name, event name, organization, and field team assignment

  • Responder first and last name

Survey Report Data:

When you save a survey measurement during a mission, the following is recorded:

  • Survey type (gamma, alpha, beta), measurement value, and unit

  • GPS coordinates and height of the measurement

  • Instrument window position (open/closed)

  • User-entered notes

  • Survey screenshot images captured from the simulation at the time of the survey

 

Observation Report Data:

When you save an observation during a mission, the following is recorded:

  • GPS coordinates of the observation location

  • Date and time (UTC)

  • User-entered notes

  • Any associated photos or screenshots

Mission Report Summary:

Upon mission completion, the Software generates a mission report summary that includes:

  • Mission duration, highest dose rate encountered, and total dose received

  • CDC Health Impact assessment based on the responder’s total simulated dose

  • Predicted health impacts and dose comparison to familiar reference exposures

  • A dosimetry overview graph showing dose rate over the course of the mission

 

Flight-Specific Data (RadTeamSim.Flight):

RadTeamSim.Flight collects similar positional and timing data as Route, but records simulated exposure rate rather than dosimetry, consistent with aerial survey operations.

2.3 Location Data (RadTeamSim.Meter)

RadTeamSim.Meter uses your mobile device’s GPS to determine your physical location in real time. This location data drives the simulation — the app calculates your simulated radiation readings based on where you are relative to the loaded scenario. Location data is collected only while a mission is actively running and is stored as part of your mission report data on the Platform.

RadTeamSim.Meter will request permission to access your device’s location services. You may revoke this permission at any time through your device settings, but the app requires location access to function.

2.4 Information We Do Not Collect

We do not collect or store:

  • Payment card or banking information (all subscriptions are invoiced directly; no payment processing occurs within the Software or Platform)

  • Biometric data

  • Device identifiers, advertising IDs, or browser fingerprints

  • Usage analytics, crash reports, or telemetry through third-party services

  • Any information from contacts, calendars, messages, or other apps on your device

3. How We Use Your Information

We use the information collected for the following purposes:

  • To create and manage your RadTeamSim account

  • To deliver simulation functionality and generate mission reports

  • To enable authorized personnel within your organization to coordinate training exercises and review mission data

  • To provide customer support

  • To maintain and improve the Software and Platform

We do not use your information for advertising, marketing to third parties, profiling, or automated decision-making.

4. Who Can Access Your Information

4.1 Account Information

Your account information (name, email, organization, phone number if provided) is accessible to:

  • You

  • Your designated Organization Administrator, who manages user accounts within your organization

  • Radiation Emergency Services Super Administrators, solely for platform support and administration purposes

  • Users in partnered organizations can see your name, email, and organization affiliation for the purpose of creating and managing field teams during joint exercises. Partnered organizations do not see your phone number if provided.

4.2 Mission Report Data

Access to your mission reports depends on how the event associated with the mission is configured:

  • Private Event (created by the individual user): Mission reports are visible only to you, your Organization Administrator, and Super Administrators.

  • Organization Event: Mission reports are visible to all members of your organization, your Organization Administrator, and Super Administrators.

  • Organization and Partners Event: Mission reports are visible to all members of your organization, members of partnered organizations participating in the event, applicable Organization Administrators, and Super Administrators.

  • Network-Wide Event: Mission reports are visible to all RadTeamSim users participating in the event and Super Administrators. This setting is used for multi-organization simulated response exercises where shared situational awareness is part of the training objective.

Organization Administrators configure the event visibility level when creating an event. If you are unsure of the visibility setting for an event you are participating in, contact your Organization Administrator.

5. Third-Party Data Sharing and Integration

We do not sell, rent, or trade your personal information or mission data to any third party.

RadTeamSim offers optional integration with third-party field data applications, including CBRNResponder and Mission Edge. If you choose to authenticate into either of these systems from within the Software, your mission data (surveys, observations, and positional information) will be transmitted to that third-party system in accordance with their own terms of service and privacy policies. This transmission occurs only at your direction and requires your explicit authentication into the third-party system.

RadTeamSim.Route and RadTeamSim.Flight use third-party mapping services (Mapbox and Cesium) to render map imagery during simulations. These services receive the simulated vehicle or aircraft GPS coordinates needed to display the correct map tiles. Because Route and Flight run on cloud-hosted kiosk infrastructure (not on your personal device), these coordinates represent the simulated position within the training scenario and do not reflect your actual physical location. RadTeamSim.Meter does not use Mapbox or Cesium and does not share your physical location data with any third-party mapping service.

We may disclose your information if required by law, regulation, or legal process, such as a lawfully issued subpoena or court order. In such cases, we will provide you with reasonable notice and opportunity to challenge the disclosure, to the extent permitted by law.

6. Data Storage and Security

Account information and the radteamsim.com web platform are hosted on Microsoft Azure infrastructure located in the United States. Mission data and associated files are stored on Azure cloud storage.

RadTeamSim kiosk sessions for Route and Flight are hosted on Amazon Web Services (AWS) infrastructure located in the United States.

We implement reasonable technical and organizational security measures to protect your information, including encrypted data transmission (HTTPS/TLS), access controls based on user roles, and secure cloud infrastructure provided by industry-leading providers.

No method of electronic storage or transmission is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

7. Data Retention

We retain your account information for as long as your account is active or as needed to provide services to you and your organization. Mission reports are retained on the Platform for access by authorized users as described in Section 4.

Requests will be processed in accordance with applicable law and may be subject to retention requirements for organizational training records maintained by your Organization Administrator.

8. Children’s Privacy

The RadTeamSim platform and Software are designed for use by professional emergency responders and are not directed at children. We do not knowingly collect personal information from individuals under the age of 13. If you believe that a child under 13 has provided personal information through our platform, please contact us immediately and we will take steps to remove such information.

9. Your Rights

Depending on your jurisdiction, you may have certain rights regarding your personal information, including:

  • The right to access the personal information we hold about you

  • The right to request correction of inaccurate information

  • The right to request deletion of your information, subject to applicable legal and organizational retention requirements

  • The right to withdraw consent for location data collection (by disabling location services on your device)

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. Your continued use of the Software or Platform after changes are posted constitutes your acceptance of the revised policy.
